AI Email Assistant: Define preconfigured texts, images and websites as information sources

The result is emails with the desired content and optional images at the touch of a button.

You can select additional sources of information that the AI can access. These can be (1) customer and project data entered in SELLSATION in the respective detailed view, (2) preconfigured images and texts (these can be entered in the administration) and (3) content from your company's website (one or more websites can be defined in the administration).

In this article, we will look at how to define preconfigured images, texts and websites as sources.

Users with administrator rights should go to the administration and open the “AI Assistant” section.

You can now define the following content that the AI can access in the “Email assistant” section:

1. Company description

Here you can add general points about your company and products that the AI can access.

2. Websites of your company

One or more websites that the AI can access can be listed here.

3. Images and image descriptions

Here you can enter as many images and associated descriptions as you like that the AI can access.

When you add images, you can also specify the alignment (left or center) and the width that the images should have in the email.

Define preconfigured content in different languages

If you use the AI Email Assistant, you can define the language in which the AI-generated emails are to be created in the customer or project detail view.

We recommend that you also create the content predefined in the administration in the languages available in your company. Only German and English are currently available.

You can see the currently selected language at the top right.

If you now switch to another language, you can automatically translate the text already entered in another language at the touch of a button and then optionally also change the images if texts in other languages are also visible in the images. This means you only need to enter the texts once and not translate them manually. The texts can of course be adapted and supplemented after translation.
