1. General
1.1. Typing or speaking
The AI Chat can be used in two ways, and both can do the same things.
Picture 1 – The input line: on the left the microphone for dictation, on the right the voice mode
Typing. You write your question into the input field and read the answer in the window. If you would rather not type, dictate: the microphone (no. 1) turns speech into text and puts it into the field. It is sent like any typed line – and you can still edit it first.
Speaking. The voice mode (no. 2) is a real conversation: you speak, the assistant answers out loud, and you can interrupt it and carry on. Nothing is typed and nothing is read. How to operate it is described in section 7.
1.2. What the AI Chat does
The AI Chat is a window beside your working page in which you can ask and instruct in ordinary sentences. It searches your data, creates customers, projects, contact persons, activities and tasks, changes fields, moves project phases, drafts e-mails, opens pages and explains how to use SELLSATION from the help articles.
Everything it says about your data it reads from the system – none of it is invented. When a search finds nothing, it says so.
Its answers come in the language set in your profile, even when you write to it in another one.
1.3. Opening the chat
Picture 2 – The AI Chat entry in the main menu
You open the chat from the AI Chat entry at the top right of the main menu. It stays open while you keep working, and it always relates to the page in front of it.
1.4. How the window is built
Picture 3 – The chat right after it opens
| No. | Element | What it does |
|---|---|---|
| 1 | New conversation | Starts an empty conversation |
| 2 | History | Shows your earlier conversations (section 8) |
| 3 | Display options | Sets whether the chat sits beside the content or over it |
| 4 | Close | Closes the window; the conversation stays in the history |
| 5 | Suggestions | Opening questions; Interpret data appears only on statistics and dashboard pages |
| 6 | Input field | Your question or instruction |
| 7 | Model chooser | Which language model answers |
| 8 | Microphone | Dictates your input into the field (1.1) |
| 9 | Voice mode | Starts a spoken conversation (section 7) |
1.5. What it may and may not do
It can create customers, contact persons, projects, activities and tasks. It can change fields of customers, projects and contact persons, a project's volume values, its phase, and tasks.
It cannot delete anything, and an activity that has been recorded can no longer be changed. Nor can it empty a field – it can only write a new value into one.
These stay in SELLSATION's own dialogs: whether a customer is a company or a private person, a project's sales process and its customer, which customer a contact person belongs to, and their roles in a project.
Questions that have nothing to do with the CRM or your sales work are declined.
2. Searching and looking things up
By name it finds customers, contact persons and projects: "Show me the customer Fonio", "What was the last contact on Hall 3?"
Projects it also finds by criteria – responsible employee, customer, phase, state, volume: "Which projects does Huber look after?", "Projects over 50,000".
Customers and contact persons can be found by name only. A question such as "Which customers do we have in Vienna?" is therefore one it cannot answer – it says so rather than searching for something else and presenting that as the answer.
Questions about using SELLSATION are answered from the help articles; it summarises the steps and links the article.
3. Creating a customer and a project
3.1. How it goes
Say in one sentence what should come into being. The chat first searches whether the customer already exists, and for a company customer it also looks it up on Google Maps to take over address, phone and website.
Picture 4 – The chat found nothing and asks how to proceed
Whatever it still needs, it asks for. Possible answers appear as buttons; Type your own answer lets you type something instead, and Skip leaves the question open.
3.2. The preview
Picture 5 – The preview with the question below it
Before creating anything it always shows a preview of every value and asks with Yes and No. Until you choose Yes, nothing comes into being. If your answer names a changed value, it builds the preview again and asks once more.
3.3. The result
Picture 6 – Confirmation with a link to the new record
After creating, it names what came into being, links the record and opens its page.
Picture 7 – The new customer with its project, beside the conversation it came from
4. Creating a contact person
Picture 8 – A contact person with a mobile number and an e-mail address
Name the person, the position and how to reach them in one sentence. With a project open it attaches the person to that project without asking where they belong. Here too: first the preview, then the question, then the record.
5. Changing data
5.1. Fields
Picture 9 – Two fields changed in one instruction
Name the field and the value and it writes straight away, then reports old → new. That keeps visible what was overwritten.
5.2. Volume
Picture 10 – One month's volume raised
A project's volume is not a field of the project but the sum of dated values. Every figure therefore needs a month. Afterwards it names the new monthly figure and the new project total.
5.3. When it asks back
Picture 11 – With an unclear instruction it asks before it writes
The clearer the instruction, the less it asks. If you named the field and the value, it writes without asking. If it had to infer something, it asks first – as a choice of buttons, or in prose for a number or a date.
6. Interpreting statistics and dashboards
Picture 12 – A dashboard interpretation
On a statistics or dashboard page it reads what is on screen: chart type, grouping, period, currency, selected employee, the remaining filters and the table exactly as displayed. On a dashboard it interprets a single tile or all of them.
Every figure it states comes from that table. What it reads is the state at the moment you send your question – change a filter and ask again.
The same interpretation is started by the Interpret with AI button on every tile and by the Interpret data suggestion.
7. The voice mode in detail
The first time you start it, the browser asks for access to the microphone. During the conversation the head of the window shows whether the assistant is listening, thinking or speaking.
You can interrupt it mid-sentence, mute the microphone and end the conversation. After ten minutes it ends by itself.
When creating a record it reads the preview out loud and then creates it directly – the typed confirmation falls away, because reading it out takes its place.
8. History and settings
Picture 13 – The list of earlier conversations
History holds your earlier conversations, the most recently used at the top. The chat names them itself from their content. One click opens a conversation with everything in it.
New conversation starts an empty one. That is worth doing when you change subject: otherwise the chat relates to everything already discussed in the same conversation.
Display options sets whether the chat sits beside the content or over it. The model chooser in the input field decides which language model answers.
9. Worth knowing
E-mails are not sent. The chat writes a draft and shows it in the conversation; a button opens it in SELLSATION's send window. How it words the mail follows the correspondence with that customer so far – language, form of address and tone are taken from it.
It only opens pages it knows: sales projects, a customer or one of its projects, a contact person, the tasks, the statistics and the dashboards.
Text from records is content to it, not an instruction. If a note or an e-mail contains something that reads like an order to the assistant, it does not carry it out but reports it.
It does not act on its own. Nothing happens without your input, and every creation is preceded by the preview.
